What to record to split travel costs fairly
For every expense, record the purpose, actual amount paid, payer and people sharing it. Keep the date and receipt for reconciliation. A shared room or vehicle can be split equally if everyone agrees; optional tickets, separate meals and extra services need their own participant lists.
One person can keep the record, provided each payer confirms their entries. Do not add reimbursements between friends to trip spending: they settle existing expenses rather than create new ones. If a booking is refunded, reconcile the refund before calculating what remains owed.
Worked example: five travelers, several payers
This hypothetical example is separate from the calculator preset. An, Bình, Chi, Dung and Em take a three-day trip and agree to split every listed expense equally. Amounts are in VND, not converted prices or travel quotes:
- An pays VND 3,000,000 for accommodation and should receive VND 1,300,000 back.
- Bình pays VND 2,500,000 for transport and should receive VND 800,000 back.
- Chi pays VND 800,000 for vehicle rental and fuel and owes another VND 900,000.
- Dung pays VND 1,700,000 for meals and neither owes nor receives anything further.
- Em pays VND 500,000 for admission tickets and owes another VND 1,200,000.
Total spending is VND 8,500,000, so each person’s share is VND 1,700,000. A complete settlement is Chi paying An VND 900,000, then Em paying An VND 400,000 and Bình VND 800,000. Payments and receipts both total VND 2,100,000. All five balances clear; verifying every recipient matters more than merely counting transfers.
Settlement checklist and travelers who leave early
Before settling, check duplicate receipts, refunds and the participants in every meal or activity. Someone leaving early can be excluded from expenses they did not use, but nonrefundable bookings need the agreement made before departure. A room charged per night can be divided among that night’s occupants if the group agrees.
Check that shares add up to spending and all balances sum to zero, then circulate the result. If expenses change after someone pays, reconcile those recorded payments too. Otherwise a revised request can accidentally ask them to pay a second time.

- Does someone who skips an activity have to share its cost?
- Only include participants, except for a prebooked cost the group agreed to share even if someone cancels. Record the activity separately and select its participants without changing other shared expenses. The person paying upfront can be different from the people taking part, so check both fields when entering it.
